Release Questions

When is v9 going to be released?

OfficeMate/ExamWRITER v9 was released in July 2010.

Where do I find out about the required training?

When you have completed the MyInstallCenter questionnaire, you will be provided with a detailed training plan for each member of your practice.

How will the first group be selected?

The release of v9 will be staggered and released to groups of clients rather than to everyone at once. Customers will be selected on a first-come–first-serve basis. We will do our best to meet the needs of our customers while maintaining a high level of customer satisfaction.

How do we get our v9 Log-in ID?

You will use the username and password that you currently use to access resources and training on officemate.net. Additionally, you will need a Site Key to access MyInstallCenter for the first time. You will be provided a unique and secure site key for MyInstallCenter after you have been contacted that you are the next group to upgrade to v9.

Is upgrading to 9.0 optional, or is it required?

Upgrading is recommended, but it is not required. If you do not upgrade, you will miss out on the new and exciting features that will be available with v9. Furthermore, v9 is a catalyst toward our certified version that positions you to receive federal stimulus money available through the HITECH Act.

What is the cost to upgrade?

There is no fee to upgrade to v9. The upgrade is included as part of your Annual Software Maintenance Agreement (ASMA); however, there are specific hardware requirements that could lead to new hardware purchase. Costs associated with meeting hardware requirements are not covered by your ASMA.

Will a list of all the features be available on the web site, with detailed examples and screenshots?

View the OfficeMate Enhancements document and the ExamWRITER Enhancements document for more information on the new features in v9.

If we need to upgrade workstations, will we be able to use different operating systems? We have all of our workstations on Windows XP, but if we get new ones, they will most likely all have Windows 7.

All of the workstation operating systems, Windows 7, Windows Vista and Windows XP can coexist on one network. Consult the Hardware and System Requirements document to ensure all of your operating systems are supported.

Functionality Questions

Are there any changes for Enterprise 2.0.38?

You can read about the enhancements to Enterprise 2.0 on our web site at http://www.officemate.net/support_ent20_resources.aspx. For those of you who are OfficeMate 7.4 or 8.0 users, this information does not apply.

Do OfficeMate Enterprise users need to upgrade to v9?

OfficeMate Enterprise users will be offered an upgrade to v9.5 when it is available.

Does the Scheduler drag-and-drop feature work when you are moving a patient from one day to another?

Yes, you can drag and drop appointments from one day to another in the weekly view.

Will we be able to send claims to VSP (via Eyefinity), including prescription and frame information directly from OfficeMate?

Yes, you will. The Lens Product Loader feature reduces the setup time involved to use the VSP interface.

Can multiple discounts be applied to the same line in the fee slip?

The Package and Discount feature allows you to apply multiple discounts and create discounts for bundles of products.

Is PD a required field in v9?

PD is not a required field.

Does the Appointment Scheduler interface with the Patient Demographics window?

Yes.

Does v9 have the ability to post negative insurance payments?

This has always been a feature in OfficeMate. Negative insurance payments are posted as chargebacks.

Is there a way on the new program to distinguish who performed each billing and posting transaction?

The new security features make auditing transactions much easier. Each transaction is recorded with the user name of the person who is logged in or the manager who performs any overrides. This information can be viewed through various reports.

Will v9 have an interface with Eyefinity in order to bill directly?

VSP can be billed through OfficeMate; you do not have to enter the information on Eyefinity’s web site. Insurance claims, other than VSP, must still be sent from OfficeMate through a clearinghouse or entered on Eyefinity’s web site.

Is there an insurance expiration date?

There is not an insurance expiration date; however, you can make a patent’s insurance inactive.

Can we color code the schedule for what we want at the time, or does the color come with the appointment made at that time?

The color appears when the appointment is made.

What is the status of automatic posting of remittances?

OfficeMate v9 has the ability to receive and post electronic remittance for VSP. OfficeMate can receive and post electronic remittance for other insurances as well through Gateway EDI.

How easy is it to create your own reports?

It’s hard to quantify an answer to that question, but it’s pretty easy. The Custom Reports feature offers a wide variety of options that allow you to dynamically create and print custom reports. You can also save your report settings to use again in the future.

Will the new Appointment Scheduler prevent multiple people in the office from scheduling the same appointment?

Refreshing the screen prior to making an appointment is still the best practice.

How are modifiers added to codes on the fee slip?

Modifiers can be added through Line Additional Data on the Fee Slip, as well as through Insurance Setup window (per Insurance plan).

Is there going to be a way for employees to clock in and out through Office Mate?

Not in this version.

On the End Of Day feature, how long will it store all that information? 1 month, 6 months, 1 year?

The End of Day is refreshed daily; however, the reports are available for an unlimited amount of time.

Does the software track usage of PHI, particularly PHI sent to insurance companies?

You can record Patient PMI Disclosures in the Patient Demographic window. This functionality has not changed from prior versions.

Have you fixed the binocular, and visual therapy/perceptual sections of ExamWRITER in v9?

A number of reported defects in the binocular and physical therapy sections of ExamWRITER are addressed and fixed in v9.

Is there a fast way to pull up the last prescription filled in ExamWRITER not just the last final Rx or manifest?

Yes, there is a reference to the last Rx filled in ExamWRITER under Reason for Visit.
