Q23586 - HOWTO: Installing the New Appointment Scheduler v1.3.3

If you are using OfficeMate Enterprise 2.0.x or OfficeMate 9.0.x, follow the instructions below to install the latest version of the new OfficeMate Appointment Scheduler (v1.3.3) in your live environment. You must install the new OfficeMate Appointment Scheduler on each computer running OfficeMate.

 

Installing the Latest Appointment Scheduler (v1.3.3)

1.       Ensure that you are using OfficeMate Enterprise 2.0.x or OfficeMate 9.0.x.

2.       Back up your data!

3.       Ensure that you are logged into the network as a user with full local administrative access rights.

4.       Ensure that you are using Windows Installer 4.5. If you are not using Windows Installer 4.5, or if you are unsure if you are using it, click here to install it. Before you install it, ensure that you select the correct file to download for your operating system.
Note: If you are using Windows 7, you already have Windows Installer 4.5 installed on your system.

5.       Ensure that you are using Microsoft .NET Framework 3.5 SP1. You can check to see if you are using this program by opening your Control Panel and viewing your Add or Remove Programs window. If you are not using Microsoft .NET Framework 3.5 SP1, click here to install it.
Note: If you do not have Microsoft .NET Framework 3.5 SP1 installed on your computer, you will have to cancel your new Appointment Scheduler installation when the Microsoft .NET Framework 3.5 SP1 Setup Maintenance Mode window opens and install Microsoft .NET Framework 3.5 SP1 before you can continue with the installation.

6.       Click http://oss.ome.s3.amazonaws.com/OMScheduler1_3_20101023_4.zip.

7.       Click Save.
The Save As window opens.

8.       Navigate to the location where you want to save the new Appointment Scheduler OMScheduler1_3_20101023_4 zip file (most likely, the OfficeMate Updates folder on your server).

9.       Click Save.
The zipped file is downloaded and saved to the location that you specified.

10.   Navigate to the OfficeMate Updates folder on your computer. If your temporary location has a different name, navigate to that folder.

11.   Double-click OMScheduler1_3_20101023_4.zip.

12.   Click File and select Extract All.
The Extraction Wizard window opens.

13.   Click Next.

14.   Click Next again.
The files are extracted to a temporary location on your computer (most likely, the OfficeMate Updates folder on your server).

15.   Click Finish to close the Extraction Wizard.

 

Important Note: Complete steps 16–20 below on one computer at a time. Do not install the new Appointment Scheduler simultaneously on multiple workstations.

 

16.   Navigate to the OfficeMate Updates folder again on your computer. If your temporary location has a different name, navigate to that folder.

17.   If you are upgrading the Appointment Scheduler in non-Terminal Server environment, copy the OMScheduler1_3_20101023_4 folder from your server to the workstation on which you are upgrading the Appointment Scheduler; otherwise, go to step 18.

18.   Double-click the OMScheduler1_3_20101023_4 folder.

19.   Ensure that you are using Microsoft SQL Server System CLR Types and Microsoft SQL Server Management Objects. You can check to see if you are using these programs by opening your Control Panel and viewing your Add or Remove Programs window. If you are not using these programs, follow the instructions below to install them; otherwise, go to step 20.

a.       Double-click the Microsoft SQL Server 2008 Feature Pack folder.

b.      Follow the instructions below on all of your 32-bit computer systems:

                                                   i.      Double-click the x86 folder.

                                                 ii.      Double-click SQLSysClrTypes.msi and complete the instructions below:

1.       Click Next.

2.       Accept the terms in the license agreement and click Next.

3.       Type your registration information and click Next.

4.       Click Install. This file will only take 10-20 seconds to install.

5.       Click Finish.

                                                iii.      Double-click SharedManagementObjects.msi and complete the instructions below:

1.       Click Next.

2.       Accept the terms in the license agreement and click Next.

3.       Type your registration information and click Next.

4.       Click Install. This file will only take 10-20 seconds to install.

5.       Click Finish.

c.       Follow the instructions below on all of your 64-bit computer systems:

                                                   i.      Double-click the x64 folder.

                                                 ii.      Double-click SQLSysClrTypes.msi and complete the instructions below:

1.       Click Next.

2.       Accept the terms in the license agreement and click Next.

3.       Type your registration information and click Next.

4.       Click Install. This file will only take 10-20 seconds to install.

5.       Click Finish.

                                                iii.      Double-click SharedManagementObjects.msi and complete the instructions below:

1.       Click Next.

2.       Accept the terms in the license agreement and click Next.

3.       Type your registration information and click Next.

4.       Click Install. This file will only take 10-20 seconds to install.

5.       Click Finish.

d.      Navigate to the OMScheduler1_3_20101023_4 folder again on your computer.

20.   Double-click OMESchedulerSetup.exe and complete the instructions below:

a.       Click Run if an Open File – Security Warning window opens.

b.      Click Next.

c.       Do not change any of the default settings and click Next.

d.      Click Next.

e.      Click Close after the installation is complete.

21.   Repeat steps 16–20 on each computer in your live environment running the OfficeMate Suite.

22.   After the new Appointment Scheduler is installed, open OfficeMate and then open the new Appointment Scheduler.

23.   Click Tools, select Providers and Resources, and select the available providers. Click Hours, set up and verify hours for each available provider, and click OK. Click OK to close the Resource Setup window.

 

New Features

·         The columns that you choose to display in the Confirmation view when you right-click on the confirmation grid are now immediately displayed.

·         Ability to select an existing appointment and see the appointment time highlighted in the time grid on the left side of the Appointment Scheduler.

·         Ability to select the order in which the providers are displayed in the Appointment Scheduler. To select the order in which the providers are displayed in the Appointment Scheduler, click View, select Resources, click the Custom Order (drag resources in the list) check box, drag and drop the resources listed in the order that you want them to appear in the Appointment Scheduler (the resource at the top of the list will appear on the left side of the Appointment Scheduler and the resource at the bottom of the list will appear on the right side of the Appointment Scheduler), and click OK.

·         Ability to quickly see if an appointment was created using a service template. Appointments created using a service template now display the template’s name when you place your cursor over them.

·         Ability to quickly see which timeslots in your Appointment Scheduler are set up with service templates. Timeslots set up with service templates now display a white vertical line on the right side of the timeslot.

·         Ability to view the entire week, without scrolling, in the Work Week view if you have the resources set up to fit on the display.

·         New patient first and last names are automatically capitalized when you add them to your patient demographic database in the Appointment Scheduler.

·         Ability to view icons that help you quickly recognize appointments that have been confirmed (Confirmed), appointments to which patients have shown up (Show), and appointments to which patients have not shown up (No Show).

·         The yellow-highlighted reminder fields on the Patient Demographics window are now removed after information is recorded in the fields.

 

Fixed Issues

·         The Find Patient window no longer remains open after adding a new patient.

·         The reminder fields in the Patient Demographic window are now the same reminder fields that you set up in the System Preferences window in Home Office.

·         You are now able to successfully copy and move appointments, even when moving from the Daily view to the Work Week view.

·         You can no longer save incompatible duration and interval values in new and existing service templates.

·         The Open Appointment Search window no longer displays times when providers are not available.

·         The default values that you set up in the Customization window (List Box Selections tab) in Home Office now appear as defaults in the Patient Demographics window in the Appointment Scheduler.

·         You no longer receive an exception error if you click the Delete Availability button in the Location Hours window without selecting a timeslot.

·         You no longer receive an OME Scheduler error when opening the Appointment Scheduler by clicking the Scheduler icon from within OfficeMate or Home Office.

·         The e-mail feature in the Eyemaginations 3D-Eye Home interface is now functioning properly in the Appointment Scheduler.

·         The Salutation field in the Patient Demographics window now correctly populates when you add a new patient through the Appointment Scheduler.

·         Appointments that are moved still display the original creation date.

·         You are now able to view the Work Week view in the Appointment Scheduler for the date range that you select.

·         You no longer receive an Unhandled Exception error when you click the DOB column heading in the Find Patient window in the Appointment Scheduler.

·         If you type letters into the first and last name fields in the Find Patient window in the Appointment Scheduler, but are unable to find a patient meeting the naming criteria, and then you click New, the letters that you typed in the Find Patient window are now transferred to the New Patient Record window to make it easier for you to record the new patient’s name.

·         The Alert button is now visible in the Patient Information box in the Appointment Scheduler.

·         You are now able to search for patients by default location.

·         You now receive a warning when you cancel an appointment.

·         You can no longer minimize the Reminders window.

·         The Appointment Scheduler grid now stays focused on the timeslot that you selected after you click Refresh.

·         You no longer receive an Unhandled Exception error when viewing the Confirmation window.

·         You can now deselect a location from the Default Location drop-down menu in the Find Patient window when you do not want to search for patients by a default location.

·         Information that is recorded for an existing patient in his or her demographic record through the Appointment Scheduler is now saved.

·         The Appointment Recurrence message now provides more clear information.

·         You are now able to assign all resources to the insurance and service reminders that you set up.

·         Changes to office hours are now reflected in the Appointment Scheduler grid.

·         When you click the Add button in the Reminders window, a new blank line now appears at the bottom of the table so that you can record the new reminder.

·         You no longer receive an overbook warning when scheduling an appointment that begins at the same time that another appointment ends.

·         You are now able to successfully unlock templates with a valid user ID and password if you selected the “Restrict Template to Service Group” check box when setting up templates.

·         Reminder fields that you set up that are not mandatory are no longer required fields in the Patient Demographic window.

·         You can no longer move appointments to timeslots when the office is closed.

·         You can no longer type more than 255 characters in the Notes column in the Confirmation view.

·         If you schedule an appointment for a patient with insurance, the insurance carrier is now visible when you place your cursor over the appointment immediately after you schedule it.

·         The appointment icons are no longer missing and you are now able to attach them to scheduled appointments.

·         Service templates applied to the date range of normal hours are no longer applied to other date ranges assigned to the provider.

·         If you are scheduling an appointment using a service template with restricted services, you are now only able to schedule the restricted services and not any service.
