Q13513 - HOWTO: Setting Up OfficeMate for PQRS

To set up OfficeMate to participate in the Physician Quality Reporting System (PQRS), follow the steps below:

Step 1: Set Up PQRS Reporting

First, designate the PQRS diagnosis codes.

  1. From the OfficeMate or Administration main window, click Setup.
  2. Select Customization (OfficeMate v8 and below) or select Third Party Setup (OfficeMate v9 and above).
  3. Click the Diagnosis Codes tab.
  4. Select the diagnosis code from the list on the left.
  5. Select the PQRI (Voluntary) check box.
  6. Repeat steps 4 and 5 for each qualifying diagnosis code.
  7. Click OK when you are finished.

Step 2: Add New Level II Procedure Codes

Review the most recent list of level II procedure codes and the level II procedure codes in OfficeMate and add any necessary level II procedure codes.

  1. From the Customization (OfficeMate v8 and below) or Third Party Setup (OfficeMate v9 and above) window, select the Procedure Codes tab.
  2. Select the procedure code from the list on the left.
  3. Select the Level II CPT Codes check box.
  4. Repeat steps 2 and 3 for each qualifying procedure code.
  5. Click OK when you are finished.

Step 3: Set Up a Reminder for Level II Codes

When you use a PQRS diagnosis code on a fee slip, also include a Level II CPT code. You can set up OfficeMate to remind you to select the Level II CPT code.

  1. From the OfficeMate or Administration main window, click Setup.
  2. Select Preferences.
  3. Click the Finance tab.
  4. Select the Yes radio button for Display reminder for level II codes.
  5. Click OK when you are finished.

Note: The PQRS (level II CPT code) should be billed to the insurance with a $0.00 fee on the fee slip.

Step 4: Create Services for Level II Procedure Codes

Before you can record the new level II procedure codes on fee slips, you must create new services to which you want to link the new level II procedure codes in the Products window and select the appropriate new level II procedure code from the CPT/HCPCS Code drop-down menu. For information on creating new services, refer to the "Maintaining Product & Service Information" chapter of the OfficeMate User's Guide or OfficeMate Administration User's Guide.

Step 5: Automate PQRS

To automatically apply PQRS codes on exams in ExamWRITER for patients who use a specific primary insurance carrier, follow the instructions below:

  1. From the Business Names/Insurance tab (OfficeMate v8 and below) or Insurance Billing Initial Setup window (OfficeMate v9 and above), select an insurance carrier.
  2. Select Auto populate PQRI coding (OfficeMate v8 and below) or click the Preferences tab and select Automate PQRI (OfficeMate v9 and above).
  3. Click OK or Save.
  4. Open the Patient Demographics window and click the Insurance tab.
  5. Assign the insurance carrier that you set up for PQRS automation in steps 1-3 above to the patient as the patient's primary insurance carrier.
  6. Click OK.
