As I write this, OfficeMate Suite 7.0 has been in use in a dozen beta sites for over a month. This month we will expand the beta testing process to over 30 sites in anticipation of the general release later this year. Version 7.0 was introduced at Vision Expo East last month to rave reviews. It encompasses over three years of development and testing resulting in the largest new release in several years. The new enhancement documentation for OfficeMate and ExamWRITER exceeds 60 pages! Some of the OfficeMate and ExamWRITER highlights are listed below. A full list of enhancements will be available on our Web site in the coming months. Stay tuned!

OfficeMate

  • Ability to record an adjustment on a negative balance.
  • Ability to view insurance open charges and post payments by insurance line item in a detailed view or by patient total amounts in a summary view in the Receipts & Adjustments window.
  • Protects against recording over payments on line items and creating negative balances in the Receipts & Adjustment window.
  • Ability to transfer an insurance balance to another insurance without creating a HCFA 1500 form in the Third Party Processing window.
  • Ability to print a Credit Refund Receipt after refunding an amount. This receipt displays the deposit date, method, and amount; the refund details; and the credit balance on the current deposit.
  • Redesigned and improved Lens/Rx tab on the Hard Lens Order window that includes fields for recording DOT none, quantity, a replenishment schedule, edge thickness (ET), Rx notes, and underlying conditions if not Rx is recorded for rigid contact lenses.
  • Redesigned and improved Detail/Specialty tab on the Hard Lens Order window that includes fields for recording multiple diameters (Dia.2), multiple cylinders (Cyl.2), multiple axis measurements (Axis 2), multiple radius widths and PC radius widths (2nd Rad./Width, 3rd Rad./Width, PC Rad./Width), a replenishment schedule, and Rx Notes for rigid bitoric contact lenses.
  • Ability to easily copy specific eyewear and contact lens order information from a previous order to a new order.
  • Redesigned and easier to read printed Rx forms that include Rx notes, PDs, lens information, spectacle materials, tints, add-ons, contact lens care regimens, wear and replenishment schedules, rigid contact lens quantities, additional rigid contact lens Rx information including blends and DOT, and a patient’s address and age.
  • Ability to select POF (patient’s own frame) in the Frame tab on the Eyewear Order window and not display open charges.
  • Ability to close out open charges from the Fee Slip window.
  • New Business Analysis tab on the Reports, Statements & Graphs window that allows you to create and print Appointment Utilization, Capture Ratio, Gross Profitability by Vendor, Insurance Profitability, Inventory Turnover, New Patient Growth Rate, Product Return Analysis, and Walk-in Sales reports.
  • New Open Charges report displays outstanding open charges.
  • New Re-Do Lab Order report displays a list of lab orders that were redone.
  • Redesigned Products window makes adding, editing, and viewing product information faster and easier.
  • Ability to populate box 31 on the HCFA 1500 form without assigning acceptance for the insurance company.
  • Ability to view print HCFA claims separate from ANSI and NSF claims in the Claims on Hold portion of the Third Party Processing window.
  • Ability to print a list of open insurance claims from the Third Party Processing window.
  • Ability to display patients with appointments only in the Patient Quick List by selecting the Appointment Only check box and clicking Refresh.

ExamWRITER

  • Ability to assign security access privileges for editing exam text and auto letter sequences, coding exams, losing and finalizing exams, printing and viewing exams, printing auto letters, maintaining eDocuments, and viewing correspondence history.
  • Ability to assign full, read only, and no access privileges to specific exam categories.
  • Ability to assign full, read only, and no access privileges to patient demographic maintenance in the standalone version of ExamWRITER.
  • Ability to record historical blood pressure, pulse, pachymetry, CD ratio, and IOP values under the Glaucoma Elements tab in the Patient Information Center.
  • Ability to quickly distinguish discontinued medications and medications to which the patient is allergic under the Med/Surgical Hx tab in the Patient Information Center.
  • Ability to view spectacle lab order numbers and create lab orders for final and alternate prescriptions under the Spectacle Rx tab in the Patient Information Center. You can only create lab orders under this tab for finalized exams (if one has not already been created).
  • Ability to view contact lens lab order numbers and create lab orders for final and trial prescriptions under the Contact Lens Rx tab in the Patient Information Center. You can only create lab orders under this tab for finalized exams (if one has not already been created).
  • Ability to attach electronic documents to specific exam records.
  • Ability to post charges for final soft and rigid contact lenses and final and alternate spectacles to a fee slip in OfficeMate without creating a lab order.
  • Ability to automatically apply vertex corrections to trial contact lens prescriptions.
  • Completely redesigned and improved Contact Lens Rx window that includes locations for recording tints (rigid lenses only); DOT (rigid lenses only); blends (rigid lenses only); Seg Ht; multiple base curves; trial and final contact lens wear schedules; trial and final contact lens replenishment schedules; trial and final contact lens quantities; and bitoric, bifocal, and sphere rigid lenses.
  • Ability to view final spectacle Rx, K readings, vertex distance, working distance, and tints (soft lenses only) in the redesigned Contact Lens Rx window.
  • Completely redesigned and improved Spectacle Rx window that includes locations for recording PDs, final and alternate Rx lens product information, final and alternate Rx lab order options (including add-ons and special lab instructions), final and alternate Rx notes, binocular information, subjective manifest Rx binocular information, and subjective cycloplegic Rx binocular information.
  • Ability to copy subjective spectacle cycloplegic prescriptions to final prescriptions.
  • Ability to customize descriptive exam text using the Text Editor.
  • Ability to quickly view and access patient demographic and exam information for patients who have open exams, appointments on the current day, or whose information has been modified in the Patient Information Center or Patient Demographics window on the current day in the new Patient Quick List.
  • Automatically assigns diagnosis codes for impressions recorded in an exam record.
  • Ability to assign risk factors to medical decisions in the Diagnosis/Procedure Coding and Quick Code windows.
  • Indiana and South Carolina state compliant medication Rx forms.
  • Ability to set up recall types and schedules in the Follow-Up window if OfficeMate is also activated.
  • Highlighted measurements in the IOP grid in the Examination tab display the OD and OS measurements that were used to compute the adjusted IOP. In order to view the highlighted measurements, you must have selected Examination from the Category drop-down menu on the Tonometry window.
  • Yellow IOP, pachymetry, CD ratio, and blood pressure/pulse Hx buttons in the Examination tab display the exam histories, including graphs, of these measurements when they are clicked.
  • Expanded Special Eye Health Test selections.
  • Redesigned Products window makes adding, editing, and viewing product information faster and easier.
  • New OfficeMate Interface option general preferences allow you to choose if you want to automatically transfer ophthalmic lens products and add-on charges to OfficeMate fee slips.
  • New Printer Defaults tab in the System Preferences window allows you to select a default printer for printing medical and ophthalmic prescriptions. This feature allows you to print ophthalmic prescriptions in the optical area where patients have the opportunity to view frames and speak with opticians, which can positively impact sales.
  • Ability to copy an available template to a new template to save time creating new templates.
  • Ability to print visual acuities if an Rx is not recorded.
  • Ability to date and time stamp addendums. If your security is active, you can also stamp the name of the person recording the addendum in the finalized exam.
  • Redesigned and easier to read printed Rx forms that include Rx notes, PDs, lens information, tints, add-ons, and contact lens care regimens.

How it Works

After the new interface is shipped to you, you will be responsible for a prorated annual support fee based upon your existing OfficeMate/ExamWRITER ASMA date. Note: You can receive a 100% refund of your pre-release OfficeMate VSP purchase if you cancel your order before the interface is shipped.  A New Look at Training
 

I recently went out and purchased the latest and greatest set of carbon fiber composite golf clubs. I expected that the next round of golf I played would be the best round of my life. Not so; instead, I had a harsh reality check. It’s not the clubs that make a difference in my game—it’s the knowledge in knowing how to use them.

Recently, or perhaps some time ago, you made the choice to invest in the computerization of your office with OfficeMate and/or ExamWRITER. While practices all differ in how they use their software, they all have one thing in common—the realization that their practice will benefit through computerization.

To Our Newer Users

Odds are you haven’t completed your training yet. Maybe you think that you’re too busy to complete your OSSU training or maybe you think that you already feel comfortable with your software. But if you haven’t completed your training, you’re most likely not using your new software to its fullest abilities. So what does this mean? It means that you won’t be able to realize the full features and benefits of your software, many of which compelled you to purchase the software in the first place.

 Turn Your Office Into an "Office of the Future"
 

Two eight-hour “Office of the Future” programs will be held in the coming months to enlighten and educate practicing optometrists on the charges facing health care and specifically, eye care. These programs include information on the future treatments of eye diseases, disease management, and ophthalmic goods and vision correction options as well as delivery of those products to the doctor’s patient base. This insightful program will also include an interactive instrument display.  Do You Have New Staff Members Using the OfficeMate Suite?
 

The key for new office staff members to perform their new jobs effectively and efficiently is to provide them with training and support. In addition to training your new staff to become familiar with your practice processes and procedures, you also have to ensure they that learn how to properly record patient information in OfficeMate and ExamWRITER. This knowledge will allow your new staff members to become fully effective in their roles in the shortest amount of time.

We strongly suggest that you require your new staff members to enroll in OfficeMate Software Solutions University (OSSU) iCoach courses that will teach them how to perform their OfficeMate and ExamWRITER job duties effectively. These Internet-based, one-hour training courses should be taken by all OfficeMate and ExamWRITER users to focus on specific training topics. These free, Internet-based, pre-recorded training and demonstration sessions should be viewed by all existing and new staff members in your practice.

These Internet-based, one-hour training courses should be taken by all OfficeMate and ExamWRITER users to focus on specific training topics. Winter has ended and we are all looking forward to nicer weather here in the Ohio training office. We are anxious to see blossoming and growing things again. Our office, as well, is growing.  We Thought We Were Backing Up Our Data...
 

Every computer consultant has brushed up against many nightmarish incidents of failed backups.  Add OfficeMate Software Solutions to Your Safe Senders E-Mail List
 

Because spam filters are all different, legitimate e-mail messages can sometimes be filtered as junk mail. We highly suggest that you add the OfficeMate Software Solutions domain (officemate.net) to your safe senders list in your e-mail program. Adding us to your safe senders list will ensure that our e-mail messages and newsletters successfully arrive in your Inbox.

If you use Microsoft Outlook 2000 or higher, follow the instructions below to add the OfficeMate domain name to your safe senders list:

  1. Open an e-mail communication from OfficeMate Software Solutions.
  2. Click the Actions menu option at the top of the window.
  3. Select Junk E-mail.
  4. Select Add Senders Domain to Safe Senders List.
  5. Click OK after the sender is added to your safe list.

If you use another e-mail program, look in their Help program to find instructions on how to add the OfficeMate domain name to your safe senders list.

 
 We're Getting a New Phone System on May 19
